Job Description Summary:

The Intake Supervisor is responsible for the coordination of patient services with the nursing, delivery and pharmacy departments. Will assist the Sr. Director, Operations to meet operational and financial goals for the location. Responsible for facilitating the timely evaluation and acceptance of patients referred for service in order to meet the needs of the patient and customers as requested. Supervises the entire Intake process from taking referral and verifying insurance to obtaining documentation and ensures a smooth transition to the Reimbursement team.

Job Description:

Job Responsibilities (listed in order of importance and/or time spent)

  • Supervises all referral coordination activity between Sales, Hospital Case Managers/Physicians and Operations. Ensures all benefits and documentation verification is obtained and accurate to minimize payer and reimbursement issues that could result in claims denials or write offs

  • Accountable for operational performance of the branch including efficient, effective and high quality delivery of services and patient care in areas of responsibility

  • Partners with Sr. DO, Regional Director, and Sales to drive market development and execute market based sales strategy

  • Drives financial performance of the local office through supply chain/inventory optimization, managing controllable expenses, reducing bad debt (claims on hold) and accurate patient registration and onboarding

  • Ensures compliance with local and federal regulations, accreditation standards and corporate policies to drive effectiveness and consistency in operations

  • Builds a cohesive, service-oriented team through recruitment, training and development, engagement and retention of qualified team members. Maintains a work environment in which staff will succeed and grow in their professional development and contribute to the overall success of Option Care

  • Observes legal and ethical guidelines for safeguarding the confidentiality of patient and proprietary Option Care data

  • Monitors adherence to Policies and Procedures, auditing as necessary. Insure Intake department is using appropriate forms, obtaining all proper and complete insurance verifications and obtaining all authorizations

  • Ensures the appropriate notification of patients in regards to their financial responsibility, benefit coverage and payor authorization for services to be provided

  • Monitors and evaluates Intake Employee productivity and performance to goal.

  • Completes all required projects and reports in a timely fashion on a daily, weekly or monthly basis per the direction of the leadership

  • Trains new Intake Employees and conduct ongoing training and skills assessment as necessary

  • Develops, monitors, coaches and manages staff, ensuring the development of employees through orientation, training establishing objectives, communication of rules, constructive discipline. Builds employee morale, motivation and loyalty and fosters a team-like environment

Basic Education and/or Experience Requirements

  • Bachelor’s degree and at least 3 years of experience in intake/admissions or medical billing.

  • Experience in healthcare intake/admissions and/or reimbursement experience

  • At least 2 years of experience directly or indirectly managing people including hiring, developing, motivating, and directing people as they work.

Basic Qualifications & Interests (BQIs)

  • Experience in diagnosing, isolating, and resolving complex issues and recommending and implementing strategies to resolve problems.

  • Experience collaborating with internal resources to develop strategies that meet department goals within budget and established timelines.

  • Intermediate level skill in Microsoft Excel (for example: using SUM function, setting borders, setting column width, inserting charts, using text wrap, sorting, setting headers and footers and/or print scaling).

  • Intermediate level skill in Microsoft Word (for example: inserting headers, page breaks, page numbers and tables and/or adjusting table columns).

  • Intermediate level skill in Microsoft PowerPoint (for example: applying a theme, formatting character spacing, inserting a picture, changing slide layout and theme colors, adding transitions, customizing slide numbers, changing chart style and/or formatting font).

Preferred Qualifications & Interests (PQIs)

  • Bachelor’s degree in Healthcare Administration or Business-related field.

  • Previous Infusion Medical Billing/Collections or Intake/Admissions experience.

  • At least 2 years of experience applying knowledge of Medicare, Medicaid, and Managed Care reimbursement guidelines.
